Where the Money Goes: Understanding the Line Items
Venue and Catering: the largest investment, always
In Italy, venue and catering are often inseparable. Private villas and borgo estates frequently include exclusive in-house catering as part of the hire. At the premium level, the venue sets the tone for everything: the architecture, the kitchen, the wine cellar, the service team. For 55 guests across four events at a private Tuscan estate, €68,000 covers: the full three-night villa hire, all food and beverage across four events, dedicated service staff and all in-house logistics. The wine programme alone at an Italian estate can run to €8,000 to €12,000. It is worth every euro.
Flowers and decor: where luxury becomes visible
The jump from €10,000 to €20,000 in florals and decor elements is the most impactful visual upgrade in the entire budget. At the premium level, this covers: a full ceremony installation with cascading arch and aisle design, a reception table styling with lush, full centrepieces for 7 to 8 tables, welcome dinner table design, welcome area and signage styling as well as bridal and personal flowers across the wedding party. Entertainment: the upgrade that changes the energy
The difference between a DJ and a live band is the difference between a great or an unforgettable party. At €10,000, the premium entertainment package covers a live band for the reception (typically a four to five piece ensemble), a DJ for the late night and a pairing with a.saxophonist for the cocktail hour or brunch experience the day after. This is the investment that creates the vibe guests still talk about a year later.
Photography and videography: the only thing that remains
After every guest has gone home and every flower has faded, the photographs and the film are what you have. At the premium level, €12,500 covers two photographers with full-day coverage plus 1-2 dedicated videographer(s), with a highlight film and complete edited gallery delivered within six to eight weeks. We never compromise on this line item. We will find savings elsewhere before we accept a weaker photography team.
What Moves a Budget Between These Two Scenarios
The jump from €65,750 to €135,000 is driven by four things, in order of impact:
- Guest count: from 35 to 55, every additional guest adds approximately €800 to €1,200 in venue, catering and logistics costs.
- Event days: adding a fourth event day (with a full dinner or party plan) adds €12,000 to €18,000 in venue and catering alone.
- Wedding and Floral Design: doubling the design scope from entry to premium adds €10,000 to the decor budget and produces a completely different visual experience.
- Entertainment: upgrading from a DJ-only to a full live band package adds €7,000 to €8,000 and transforms the energy of the entire evening.
Everything else scales proportionally. The planning fee, photography, transfers and personal flowers all increase with guest count and event scope, but none of them are the primary driver of the budget difference.

The planning fee is released across three milestones rather than one upfront payment. You pay as the value is delivered. The largest vendor investments, venue, florals, photography, are paid directly to each supplier on their own schedules, which we manage and coordinate entirely.

- Complete vendor selection and booking across all categories.

That depends entirely on your guest count, the number of event days you want and how central the design experience is to your vision. Guest flights and personal accommodation outside the villa hire are typically arranged and paid by guests directly. Legal marriage registration in your home country prior to a symbolic ceremony in Italy is separate. Travel insurance for the couple and party is strongly recommended and not included. Honeymoon arrangements are separate unless specifically requested.
